Most leads do not buy the first time they enquire. They get busy, compare options or simply forget. A short, well-timed follow-up sequence on WhatsApp is one of the simplest ways to turn quiet leads into conversations, because people notice WhatsApp messages far more than email.
This is an example you can adapt. It assumes the lead has opted in to WhatsApp messages, for instance by ticking a box on your form, and that you follow the 24-hour window and template rules.
The principle: be useful, then be brief
Every message should give the lead something: an answer, a helpful detail, an easy next step. Do not send "just checking in" repeatedly. Three to five thoughtful messages over a week is plenty.
Day 0: Reply immediately
The first minutes matter most. Send a warm, specific reply as soon as the enquiry arrives.
"Hi Priya, thanks for asking about our yearly plan. I can send you a quote today. What size is your team?"
If the lead messaged you first, this is a normal reply inside the window. If they came from a form, send it as a template.
Day 1: Add value
Share one useful thing related to what they asked about, such as a short guide, a price list or a customer question we hear often.
"Hi Priya, here is a one-page summary of what is included in the yearly plan. Happy to walk you through it if helpful."
Day 3: Ask a simple question
Make it easy to respond with one word or a tap.
"Hi Priya, do you want us to prepare a quote for 5 users or a different number? Reply with a number and I will send it over."
Day 5: Remove a barrier
Address the most common hesitation for your product: price, setup time, switching effort or trust.
"Hi Priya, many people ask how long setup takes. For most teams it is a few days, and we handle the migration with you. Want me to outline the steps?"
Day 7: A polite close
Give a clear, friendly last message that leaves the door open.
"Hi Priya, I do not want to crowd your inbox, so this is my last note for now. If timing changes, just message me here and we will pick up where we left off."
Rules that keep it friendly
- Stop when they reply. As soon as the lead answers, switch to a real conversation. Pause the sequence.
- Stop when they opt out. Honour it immediately and record it.
- Use their name and the specific thing they asked about. Generic messages get ignored.
- Respect quiet hours. Do not send late at night.
- Keep records. Log each message and reply against the lead in your CRM, so anyone on the team can see the history.
- Escalate warm leads to a person. If the lead replies with interest, a human should take over quickly.
Automating the sequence
You can send this sequence by hand for a handful of leads. When volume grows, automate it: a rule that starts the sequence when a new lead arrives, waits between steps and stops on reply or opt-out. LeadForGrow and TalkForGrow are designed to work together for this: the CRM holds the lead and its status, and the messaging platform sends and receives the WhatsApp messages.

Frequently asked questions
How many follow-up messages are too many?
For a new lead, three to five in a week is usually enough. If there is no response, pause and try again later with something new to say.
Should I follow up by WhatsApp or by phone?
Use the channel the lead prefers. WhatsApp works well for quick, low-pressure nudges; a call suits high-value or complex sales.
What if the lead has not opted in?
Do not send WhatsApp messages until they have. Use another channel to ask permission, or wait for them to message you.
